Purpose:
Be responsible for the phone calls handling and transferring correctly and effectively; mail distribution correctly. To be sure the security and safety of reception area. Cooperating with outside vendor and internal staff properly to meet diverse business needs.
Accountabilities and End Results:
Assist team effectively to meet overall business targets. Communicate with different individuals smartly to achieve extended team objectives.
Primary Functions:
Phone calls management
• Handle and transfer internal/external phone calls effectively and accurately
• phone lists as well as the related distribution lists timely if any changes.
• Compile, modify and email group lists of all subsidiaries in China.
• Arrange holiday greetings in voice mail box before holidays.
Mail management
• Work with office administrator to sort and distribute all incoming & outgoing mail, maintain record as well as the mails between BJ and TG.
• Manage in city mails delivery as well as EMS in some cases.
Company Badge management
• Employee’s key card management. Include but not limited to the card application, change and termination etc.
• Visitor’s and contractor’s badge management. Include but not limited to assist the visitors notify the colleague with whom they have an appointment, issue visit badge and maintain a registration book etc.
• track and manage records & system quarterly.
Vendor management
• Serve as liaison between the company and furniture/decoration vendor, also between the company and Building Estate Dept, office maintenance records.
• Serve as liaison between the company and presswork vendor, make arrangement for the business card/badge card/other business related materials issuing and printing.
Others
• Ensure the security and safety of reception areas.
• Conference room management and coordination.
• Provide back up support for other team members during their absence.
• Others as requested by supervisor.
Critical Skills:
• Excellent oral and written skills in both Chinese and English
• Strong inter-personal relationship and teambuilding skills
• Detail-orientated
• Skilful with Microsoft office suite.
